The steps to getting an accurate commercial flooring installation quote are fairly basic. Providing as much detail and information in the beginning will assure that you will be getting a quote that is accurate and on time. One of the worst things you can do is drip-feed information for quoting purposes. This will cause additional work, more steps and delay your quote from being completed.

It is important that when you request a flooring installation quote, that you provide the same or equal information to all of the companies participating in the quote process so that you have accurate and fair comparisons.

Floor Preparation or Prep

Installation Quote

Having as much of the substrate prepared for your flooring installation prior to the flooring installation team arriving, will save you both time and money in the end. All commercial flooring companies expect to perform floor prep prior to installing a commercial floor. The difference is what is considered normal or standard floor prep and what is not. Most commercial flooring installation companies will factor one ten pound bag of fill or feather per 1,000 square feet. Any additional material and labor needed to achieve the proper floor trueness will be added to your final invoice. For us at American Platforms & Flooring, that is our process as well.

Take-Offs

Installation Quote

Commercial Flooring Installation companies will produce a drawing or drawings that are called take-offs. These drawings will show the floor plan in a 2D drawing, with the number of rolls, tiles or sheets of the floor covering that is designated for that particular space. For example, if you have selected a recycled rolled rubber for installation, it will typically come in a 4 foot wide roll. The drawing will show a series of rolls on the plan to cover the space, with each showing 4 foot wide. If you have a 28 foot wide room, it would show 7 rolls of rubber at the required length. When this is done properly, a commercial flooring installation company can factor the proper roll lengths and quantity to avoid any more waste and trim than is absolutely necessary. This process will prevent your commercial flooring installation company from simply taking the square footage and adding the standard 15%.

COMMERCIAL FLOORING

Commercial flooring installations are different. It takes experience to manage the multiple challenges that one faces with commercial flooring installations. Experience that will keep your project on track.

There are more scheduling challenges with commercial flooring installations, other trades, material delivery date that change and project parameters change as well. This requires more coordination with other contractors and subcontractors. Additional decision-makers or stakeholders raise challenges as well. You want a company that has been there, done that, and we have.

The process is quite simple. There are a number of steps that we like to follow that will make your experience with us and getting your high performance flooring installed with the least amount of effort.

  • Floor plan of your location, preferably a CAD file type. This would normally be a .dwg file extension.
  • Approved layout drawing from Redline Athletics Franchising.
  • Pictures of the location, showing floor surfaces with adequate lighting.
  • Location.
  • Timeline for installation.
  • Current condition of the substrate. Is there floor covering on the floor now that will need to be demoed?
  • If demo work is needed, what is the floor covering type? Do you know how long it has been down on the floor?
  • If no floor covering is on the substrate now, what condition is the concrete in? Relatively smooth, does it have chips and joints with wide gaps, etc?
  • Are there extreme or abrupt elevation changes that will require additional floor prep or special transitions?

The next steps are rather fluid, and they move along quite well. The one thing that usually slows our process down after we begin the initial process is either financing timelines with the franchisee, or simply permitting and construction prior to floor install.
Next Steps:

  • We will provide a revised floor plan that our architects produce from your approved franchise drawing and CAD file provided by you. This will give complete dimensions, materials used and square footage of each. Once this is approved by both you and Redline Athletics Franchising, we will move to the next step of quoting.
  • After approval of our floor plan drawings, we will move to create a quote based on total square foot, any overages for fit and trim, floor prep, installation, freight, game line painting and any other finish work.
  • Finish work may consist of additional line painting, graphics, logos and special transitions.
  • After your quote is provided and you have either approved it or we have made material revisions to it for final approval, we would then discuss an installation date.
  • After you have approved the quote and we have a tentative installation date range, you would be responsible for making an 80% deposit. This deposit is required to order your flooring materials and secure an installation date range.
  • Once your materials are ordered, we will receive an estimated dispatch date for your materials. We will provide this to you for planning.
  • When your materials are delivered, you will be responsible for receiving them. You should plan to have labor available to help manage the load and position it inside your location out of the way.
  • It is important in most cases to allow the materials to acclimate for 48 hours. This acclimation should be in a room temperature of 72 to 74 degrees Fahrenheit. It will be necessary to have your HVAC working at this time to control both the temperature and humidity.

Installation times can vary, depending on several factors. These factors are size of location, number of different surfaces being installed, floor preparation needed, and game lines required to be painted. Of course, there is always the potential of other trades having an issue or emergency fix that causes a work stoppage or slow down with the flooring installation.
Typically, the projects that range from 9,000 sq/ft to 12,000 sq/ft will take from 6 to 8 days at the most.

Your Redline Athletics Franchise Guide has specs to address each area of your facility. If you have an area or room that could require other than spec product, we have other floor covering materials available through the approved manufacturer of Ecore Athletic.
If this is the case, and you wish to add something other than what is spec in your Franchise Guide, it will require an authorization or variance waiver by Redline Athletics Franchising. We can help assist you with this process.

The condition and cleaning of your space is important for flooring installation and minimizing additional costs.
The space should be free from debris, other trades tools and materials, excess paint and drywall mud on floor surfaces and all equipment.

The flooring installation is one of the last items to be handled within the process of your new venture. That said, it is also one that many other trades are known to leave a mess and debris for clean up. Our installers are skilled workers and not clean up crews for other trades. Using our crew for labor types of work like cleaning will become very expensive and that is something we wish avoid. It would be best to direct your General Contractor to have general labor to clean the facility, removing all debris, excess drywall mud, overspray and any other materials that might require labor.

This will also ensure a speedy installation process by eliminating additional clean up time when the installation team arrives.

Many customers self-install our logos since they are so easy to install. Logos that are not oversize and that are produced in one-piece, are relatively easy. You will be provided with instructions and an installation video to speed up the installation process. We are also available for phone consultation to help guide you when needed. Lastly, if you feel uncomfortable self-installing your new logos, we can help locate a qualified professional to install them. For multi-part logos, we do recommend a professional installer be used.
